Booking Conditions

Booking Conditions:

All programs are organized by Hart Travel Partners LLC, hereafter  referred to as “HTP”. 

These Booking Conditions are valid for all travel programs departing September 1, 2023 through December 31, 2025.  

What is typically included (please refer to your itinerary for specific inclusions):

Round trip air transportation 

Accommodations 

Travel Director 

Daily Breakfast and Dinner (see your program details for specifics)

Excursions, sightseeing tours, entrance fees and transfers as per itinerary 

24 hour emergency service  

What is not typically included (please refer to your itinerary for specific inclusions):

Beverages with meals (such as soft drinks, juices, etc), water is always included

Expenses during free time activities 

Passport and visa fees 

Airline baggage charges - depending on airline used. 

Itinerary Changes  

Sometimes HTP might need to modify an itinerary because of under enrollment or for operational reasons. HTP reserves the right to make changes in fees, departure dates, departure cities, order of itinerary, trip direction, airlines, hotels, activities, ships or cruise  ports-of-call. On certain dates, such as holidays, some attractions or activities may be closed. HTP reserves the right to substitute attractions or activities. Such changes are not grounds for withdrawal with full refund.  

All programs are subject to minimum and maximum numbers of participants. If HTP is unable to confirm a place on a program that a participant is registered on, HTP will offer the option to change to another program where there is space available or cancel the registration will a full refund. If a participant chooses another program a different program fee may apply. 

International Flights  

HTP uses regularly scheduled flights. Equipment and flight itinerary may be modified by the direct air carrier or by HTP.  

HTP is not responsible for flight delays, missed connecting flights, long layovers or any expenses related to such delays.  

Groups are not guaranteed to travel together on the same flights. In such a case that a group is traveling separately, the group leaders will determine who will travel on each flight.  

Each participant must travel on all legs of the program flight itinerary. If a participant misses one portion the remaining portions will be cancelled by the airline. The participant will be responsible for purchasing a new ticket and any other fees charged by the airlines.  

Special Travel Requests  

Please email all special flight requests to: info@harttravelpartners.com. To ensure accuracy this cannot be done over the phone. Special travel is subject to a $150 fee, plus any extra airline fees.  Special travel is not confirmed until the fees have been paid. Such special requests may  include:  

  • Fly domestically to meet the rest of the group at the international gateway airport.  

  • Fly internationally from a different U.S gateway than the rest of the group. Participants  are responsible for making their own way to the first hotel and to the airport from the last  hotel on the program.  

  • Extending stay at a destination. Participants are responsible for making their own way to the airport for their return to the U.S as well as all land arrangements related to their  individual itinerary.  

  • Making independent flight arrangements. HTP will charge a land only price upon request.  In such cases participants are responsible for making their own way to the first hotel and to  the airport from the last hotel on the program. HTP is not responsible for travel-related  delays or inconveniences for land only participants. 

  • If traveling separately from the rest of the group airlines may charge a separate Unaccompanied Minor (UAM) fee if the traveler is aged 15 and younger. The amount charged varies according to airline and is the traveler’s responsibility. 

Duration of Program  

Each program begins upon take-off from the departure airport in the USA and ends upon landing at the return airport in the USA, or for domesitc programs with no flights, the program begins and ends at the pre-arranged bus stop location. For participants making their own flight/bus arrangements the program starts upon arrival at the first hotel and ends upon departure  from the last hotel in the program. The official HTP program does not include extended travel arrangements made before or after the program.  

Enrollment/Payments  

We recommend that participants register as soon as possible as space is filled on a first come, first serve basis. Participants should register with their names as they appear or will appear on their passports. We will assess a $150 name change fee plus any additional airline charges for any registered participant who requests a name change in writing. 

A late enrollment fee of $250 will be applied for anyone who enrolls under 90 days prior to departure, and full payment is due at enrollment.

Payments can be made by check or via ACH payment from your checking or savings account, or with a credit card (credit card transaction fees apply.)

Returned checks/late payments: 

There will be a $35 charge for all returned checks and/or late payments. 

Standard Cancellation Policy 

Cancellations must be submitted in writing, including by email. The date of the cancellation is the date on which we receive the notice. Payments cannot be transferred to another account.  

Replacements for cancellations can be accepted until 120 days before departure for a $150  fee plus any incremental airline fees that are charged. 

2024 and 2025 Program Cancellation Fees:

180 days or more prior to departure:  

  • Full refund less a $350 cancellation fee and insurance premium if purchased.  

179-120 days prior to departure: 

  • Full refund less 25% of program cost and insurance premium if purchased.  

119-60 days prior to departure:

  • Full refund less 50% of program cost and insurance premium if purchased. 

59 days or less prior to departure:

  • No refund.
